Guide

Getting started

New here? Watch the 2-minute Start here video. After you enter your key, the Start here checklist on the Quote tab walks you through each step and ticks them off as you go.

  1. Install it. iPhone: in Safari tap Share, then Add to Home Screen. Android or computer: tap Install app when it's offered, or use the browser menu. It then opens full screen and works without signal. Do this before you enter your license key, then enter the key in the installed app. Each browser, and the home screen app, counts as its own device.
  2. Open Settings and turn on the trades you do (exterior cleaning, landscaping, holiday lighting). Only those services and prices show up.
  3. Add your company details, logo (a PNG with a clear background looks best) and brand colors. They appear on every proposal.
  4. Sales tax: enter your rate. If only part of your price is taxable (labor only, for example), enter that share. No tax is added until a rate is filled in.
  5. Set your prices in the Pricebook (next topic).

Everything saves automatically and stays on your device.

Set up your Pricebook

The starting prices are examples only. Change them before you send a real quote.

  1. Open the Pricebook tab. Each group says how it's priced: per sq ft, per linear ft, per item, a minimum, or a percentage add-on.
  2. Type your numbers, then tap Save pricebook.

Your own services: each trade has a section where you can add as many custom services as you need, with a name, unit and price. They show up on the Quote tab under Add a line.

Package names: rename your four packages (Ultimate, Premium, Deluxe, Classic) to match how you sell.

Restore starting prices puts every price back to the examples. Download a backup first if you want to keep yours.

Make a quote

Work top to bottom on the Quote tab. The total updates as you go.

Customer and address

Enter the name, phone and email. Start typing the address and pick the match, or tap Use my location at the house. If the address is already a saved property, the quote links to it automatically and fills in what you know.

With an address you also get Google Maps / Street View, Measure on satellite, the county Lot lines map where available, and Google Earth.

Measuring

Tap the measure button beside any sq ft or length box. Pick Area or Length, tap the corners, drag a dot to adjust, use + Another shape for more areas, then Use.

Reuse saved measurements

On a saved property, each sq ft and length box has a Use saved list. Pick one to fill it in, like using the gutter length from a cleaning job for gutter-line lights.

Photos

Add photos takes or picks up to 10. The first is the cover on the proposal; tap a star to change it.

Services

Flip a service's switch and fill in its boxes. Each card shows its price and flags anything missing. For a second line of the same service (front beds and back beds) or one of your own services, use Add a line at the bottom.

Discount

Below the services, type a discount and tap % or $. Add a reason if you like (Repeat customer, Fall special); it prints on the quote. The discount comes off before sales tax and applies to every package. Crew devices can discount up to the limit the owner sets in Pricebook → Crew discounts (10% to start).

Save

Tap Save quote. It's saved to the property, and every measurement is saved there by name. Your work in progress is also kept automatically.

Services by trade

Prices come from your Pricebook. Minimums and add-ons apply automatically.

Exterior cleaning

  • House wash: sq ft, stories, siding, brightener; optional roof wash (material, growth, pitch).
  • Gutters, oxidation, rust: linear ft or sq ft and stories.
  • Deck, dock, boathouse, fence, wood stain: sq ft or linear ft, material, extras like rails and steps.
  • Ground surfaces and pavers: sq ft, surface, optional sealing.
  • Windows, furniture, extra structures: counts by type.
  • Any material list has Other (type it in): name the material and enter your own price for that job.

Landscaping

  • Lawn mowing: lawn sq ft, weekly or biweekly, number of mows.
  • Shrub & hedge trimming: count by size; ladder work adds a %.
  • Tree trimming: trim level and trees by height; access, over-structure and climbing add a %. Quote hazard trees and power-line work by hand.
  • Stump grinding: stumps by diameter; extra stumps discounted; roots, hardwood, access and deep grind add a %. Over 60″: quote by hand.
  • Tree & shrub planting: type the plant name, pick the size and how many. Enter the retail price if you know it (container × 1.75, B&B × 2 by default); otherwise the Pricebook rate is used. Digging, access and machine conditions add a %; staking and soil amendment add per plant.
  • Leaf cleanup, aeration, gutter cleaning and guards, mulch, pine straw, rock, sod, haul-away: area, length or loads, with minimums where set.

Holiday lighting

  • Roofline lights: linear ft by run. Ground lights: linear ft, stakes included.
  • Trees, bushes & columns: strands. Wreaths, garland & stakes: counts and garland ft.
  • Takedown & storage: flat price per job.
Light mockup

Mark up a photo of the house and the app measures each run, prices it and adds it to the quote. Turn on Holiday lighting in Settings to see Light mockup under Photos.

  1. Pick a photo, straight on from the street.
  2. Set the scale: choose the scale object (front door, 3 ft, by default), tap Set scale and drag across it.
  3. Trace runs: pick a line (gutter, ridge, gable, window, door, ground, garland), tap the start and each turn, then ✓ Finish run.
  4. Columns: tap the top, then the bottom. Branch wraps: tap up the trunk and out a branch, then Finish run; one run per branch.
  5. Items: pick tree canopy, bush or a wreath size and tap to place. Drag the edge dot to resize.
  6. Pick a color before drawing each run or item.
  7. Add to quote puts the lines at the top of the quote and saves the picture and footage to the property.

Undo backs up one step. Adjust shows every dot to move or resize; tap ✓ Done when finished. Dusk previews it at night. Pinch to zoom.

Ridges that run away from you look shorter in a photo. On that line, tap Satellite to measure from above or Type ft to enter the real length.

Side views: the tabs at the top are Front, Left side and Right side. Use a side photo for what the front can't show well, like dormers and ridges seen from the side, or light a whole side. Each view gets its own photo, scale and markup (no door on that side? Tap Satellite on each run instead of setting a scale). A check on a tab means it has markup.

Add to quote adds every view at once. Side items get their own lines, like Gutters – left side, so a package can leave a side out, and each view's lit-up picture goes on the quote. Don't trace the same corner in two photos or it's priced twice. Make it real works one view at a time.

Photo-real render (ChatGPT)

✨ Make it real turns your mockup into a photo-real dusk picture using your own ChatGPT account (free accounts get a few images a day).

On a phone

  1. Tap Copy & open ChatGPT. One picture with both photos and the instructions is copied.
  2. In ChatGPT, tap the message box and Paste, type go, and send.

If the phone's share sheet ever freezes the browser, swipe the browser closed from the app switcher and reopen it; your mockup is saved first.

On a computer

  1. Click Open in ChatGPT and wait for the green “Picture copied” line.
  2. In ChatGPT press Ctrl+V (⌘V on a Mac), type go, press Enter.

If an item is missing, reply with what to add. If it sends back the side-by-side picture, reply “just the house.” Save the render and add it to your photos. A render is an illustration, not an exact promise of the install.

Proposal and sending

On the Proposal tab, customers see up to four packages so they choose how much to buy, not whether to buy. The first package includes every service on the quote; untick services to leave them out of the others.

Tax-exempt customer (under the customer details, when you charge tax) removes tax from that quote.

Send the proposal: Send PDF makes a branded PDF to text or email, Print prints it or saves it as a PDF, and Copy as text copies it for a message or your CRM. The same buttons are at the bottom of the Quote tab.

Send to CRM (connect your CRM)

On Pro Plus, Send to CRM sends the customer, address and quote to your CRM through your own Zapier account. It works with any CRM that offers Zapier. Quotes pass through Trinato’s server, which checks your plan and forwards them only to the Zapier or Make link the owner saved. Zapier's webhook step needs a paid Zapier plan.

  1. Start a Zap. In Zapier, tap Create → Zaps. For the trigger pick Webhooks by Zapier, then Catch Hook, then Continue. Copy the webhook link it gives you.
  2. Paste it in Trinato. As the owner, go to Settings → Send to CRM, paste the link, tap Save link, then Send a test. Back in Zapier, tap Test trigger and you'll see a test customer and line item.
  3. Add your CRM. For the action, search for your CRM and pick its Create Customer (or Create Client / Create Contact) step. Connect your CRM account. If it asks for an API key, you'll find it in your CRM's settings, usually under Integrations or Zapier.
  4. Match the boxes. Click each box and pick the matching Trinato item:
    • First name → customer_first_name, last name → customer_last_name
    • Email → customer_email, phone → customer_phone
    • Street → address_street, city → address_city, state → address_state, ZIP → address_zip (not address, which is the whole line). These are exactly what shows in the Street, City, State and ZIP boxes under the address on the Quote tab.
    • Lead source → lead_source (your list from Settings). If your CRM leaves the source blank, it wants an ID number instead of the name. In Zapier, add a Formatter → Utilities → Lookup Table step: lookup key Lead Source, then each source name and your CRM's ID for it. Map your CRM's source field to the table's output. Make has the same kind of step.
    • Notes or comments → quote_text (the whole quote written out)
Leave boxes that don't match empty. Tap Test step and check that the customer shows up in your CRM.
  5. Add the quote (if your CRM can). Some CRMs also have a Create Quote or Create Estimate step. Add it after the customer step and pick the customer from the step before. For line items use line_names and line_prices; if it asks for one line at a time, use line_1_name and line_1_price, and so on. Totals are in subtotal, tax and total. CRMs without a quote step still get the full quote in the notes from quote_text.
  6. Publish the Zap. Now tap Send to CRM on any quote (next to Send PDF, or on the Proposal tab).

Repeat customers: many CRMs' Zapier steps can't look up an existing customer, so a returning customer may show up twice. If your CRM offers a Find or Create step, use that instead.

Tips for popular CRMs (the first steps are the same for all of them; only the action step changes):

  • Jobber – Zapier works on Jobber's Connect, Grow and Plus plans. Use Find or Create Client so repeat customers aren't added twice. Then add Create Quote (or Create Request if you'd rather follow up first). Jobber puts the quote on the client's first property.
  • Housecall Pro – Zapier can add the customer only (Create Customer). Map name, phone, email and address, and type Trinato in Tags so you can find them. Build the estimate in Housecall Pro from the PDF.
  • Markate – Pick Create Lead if you follow up on quotes, or Create Customer if you close on the spot. Map the address into the billing address too, type Trinato as the lead source, and put quote_text in the notes or comments.
  • The Customer Factor – Pick Create Prospect for a quote that hasn't been accepted yet (or Create Customer). It also has Create Estimate if you want the prices carried over.
  • Zoho – In Zoho CRM, use Create Module Entry and pick Leads (or Contacts). In Zoho FSM, use Create Module Entry with Contacts, then another for Estimates if you want the quote too. Zoho FSM's Zapier link needs its Standard plan or higher.

Any field your CRM asks for that Trinato doesn't send (customer type, lead source, status) can be typed in once in the Zap and it fills in on every customer. Boxes marked required must have something in them or the Zap stops.

Quote didn't show up in your CRM? Trinato says “Sent” as soon as Zapier receives it, so check Zap History in Zapier: it lists every quote and shows any step that failed, with the reason. Zapier also emails you when a step fails. A Make (Integromat) webhook link works too.

Your license

The first time you open Trinato, paste the license key from your receipt email. Standard works on 2 devices, Pro on 3 and Pro Plus on 5. Your plan and key are shown in Settings → License.

New phone? Tap Remove from this device on the old one (if you still have it), then enter the same key on the new one. Download a backup first to bring your properties along.

Trinato checks your license about once a week when you're online. It keeps working offline for up to 3 weeks. To update your card, switch plans or cancel, tap Manage subscription.

Devices, owners and crew

Each browser counts as a device. Safari, Chrome and the home-screen app each keep their own copy, so add Trinato to your home screen first and enter your key there. Use the same one every time. Not using a browser any more? Open Trinato there and tap Settings → License → Remove from this device to free its spot.

Add your crew (Pro and Pro Plus). With the crew member next to you, go to Settings → License → Devices on this plan and tap Invite a crew phone. A QR code appears. On their phone: open the camera and scan it (or open the link you text them), then follow the steps on screen. iPhone: tap Copy invite, then Share → Add to Home Screen, open Trinato from the icon and tap Paste. Android: tap Join as crew. Their phone joins as crew right away, with no approval step, and shows up in your device list on its own. Each invite works once, expires after 60 minutes and uses one of your plan’s devices only when it’s used. Waiting invites are listed under your devices, where you can cancel one or send a new one.

Add a second owner (your laptop or tablet). Do this on day one, so losing your phone never locks you out.

  1. On the laptop, open Trinato, enter the same key and turn on Sync. It shows Waiting for approval.
  2. On your phone, go to Settings → License → Devices on this plan and tap Approve. Approving makes it crew.
  3. Tap Make owner. The app asks right after you approve, or use the Make owner button next to the device.
  4. On the laptop, tap Sync now. It now says Owner.

Owner and crew (Pro and Pro Plus): the first device to turn on sync is the owner. When the key is entered on another phone, that phone waits until the owner taps Approve in Settings → License → Devices on this plan, so the key alone can’t open your customer list. Approved devices are crew: they quote, measure and save properties with the owner’s prices and company settings. Crew devices don’t show the Pricebook, company settings, Send to CRM setup or backups, can’t delete properties or quotes, and can discount only up to the owner’s crew limit. A device can be made an owner too; you can have more than one owner, and the last owner can’t be removed. When someone leaves, tap Remove: that phone is locked and its copy of your customers, quotes and photos is erased the next time it connects.

Properties and backups

Every house you quote becomes a property that keeps its customer, access notes, photos, light mockup, measurements and past quotes.

Open a property from the Properties tab to edit it. New quote for this property starts a quote with everything filled in. On a past quote, Open edits it (the Quote tab then says Saved and the button reads Update quote, so changes go into that same quote). Delete quote removes only that quote.

Saved or not? Under the totals the Quote tab says Saved or Not saved yet. A quote is only kept after you tap Save quote. After it's saved, tapping the Quote tab from another tab starts a new blank quote; open the saved one again from Properties. Delete quote on the Quote tab deletes just that quote. On an unsaved test quote it throws it away, and removes the property too if that property has no saved quotes. Only the owner can delete saved quotes.

Pro cloud sync: on a Pro plan, properties, quotes, photos, your Pricebook and company settings are backed up automatically and stay the same on every device that uses your key. If two devices change the same property, the newest change wins; quotes from both are kept. Check it in Settings → License → Cloud sync.

Deleting cloud data: photos you remove are cleared from the cloud after about 30 days. The owner can erase everything stored in the cloud with Delete all cloud data (Settings → License → Devices on this plan); that phone keeps its own copy and cloud sync turns off until you turn it back on.

Backups: on Standard, your data lives only on this device. Every week or two, tap Download backup on the Properties tab and keep the file somewhere safe (email, Google Drive, iCloud). To move to a new device, open the app there and tap Restore backup.

Clearing browser data, deleting the home-screen app or losing your phone erases your data. A recent backup is the only way back. On iPhone, the home-screen app has its own storage, separate from Safari.

Troubleshooting
  • Something looks out of date or a button doesn't work: close the app fully and reopen it with signal.
  • A service or price is missing: turn on that trade in Settings → What you offer.
  • Prices didn't change: tap Save pricebook.
  • No address suggestions: keep typing the number and street, or use Use my location.
  • A photo won't open: some computers can't open iPhone HEIC photos. Save it as JPG or add it from the phone.
  • “Phone storage is full”: download a backup, then delete old quotes or properties.
  • Mockup footage looks wrong: reset the scale on the front door, straight on. Use Satellite or Type ft for ridges that run front to back.
  • Nothing pastes in ChatGPT: click Open in ChatGPT again and wait for “Picture copied” first.
  • No ChatGPT tab opens: your browser blocked the pop-up; use the Open ChatGPT link under the button.
  • Quotes are gone: tap Restore backup and pick your latest backup file.
